The OHSU Knight Cancer Institute is a pioneer in personalized cancer treatment and research, led by Dr. Brian Druker, whose development of Gleevec transformed Chronic Myeloid Leukemia from a fatal disease to a manageable one and proved that targeted therapies can work. The institute focuses on precision oncology, the early detection, prevention, and treatment of cancer, and creating a welcoming and supportive environment for its caregivers, researchers, and support personnel. The Faculty Recruitment Coordinator at the Knight Cancer Institute performs a variety of administrative activities delegated by the Knight Sr. HR Manager and Central and Administrative Leadership, amplifying the Knight Cancer Institute’s visibility as a destination employer and providing critical support to the Faculty Recruiter.
This role will carry out tasks that advance recruitment strategies forward which include program coordination, talent transaction support, recruiter assistance, candidate experience and communications, and ad hoc responsibilities.
Duties Include but are not limited to:
- Recruitment Support & Candidate Experience
- Supports Knight Cancer Institute Faculty Recruiter with programming and faculty recruitment administrative activities such as PDs, data cleanliness, offer letters, and more.
- Represents OHSU Knight Cancer Institute at community events and faculty recruitment career fair activities, in person or virtual, as back-up or support for the Faculty Recruiter.
- Identify opportunities to incorporate principles of diversity, equity, inclusion, belonging, and OHSU’s values into communications, job postings, and recruitment processes.
- Provides faculty recruitment support to hiring managers or other HR team members with managing candidates in the applicant tracking system, creating offer letters for faculty new hires.
- Provides administrative support to Faculty Recruiter and hiring managers, ie. scheduling meetings, interviews.
- Conducts phone screens to support faculty recruiter, HR associates, and managers.
- Day of coordinator and concierge for oncology faculty with the business administration teams to ensure premier service experience for candidates unless delegated to the administartive team.
- Program Support
- Supports outreach and the strategic faculty recruitment strategies as an admin for the HR and Marketing teams at the Knight Cancer Institute.
- Either supports or manages various faculty recruitment programs to ensure success, such as administration, registration standards, confirming attendees, scheduling, and more.
- Prepares informational documents and packets for candidates for an optimal candidate experience.
- Recruitment Operations
- Answer and triage recruitment inquiries from candidates, employees and hiring managers via email, phone and in person (when working in office).
- Coordinates with other Associate sand OHSU Knight Embedded functions to manage shared mailboxes.
- Processes new or replacement position requests from new request through posting ensuring everything is tracked and processed.
- Participates in Knight Cancer Institute HR process improvements or other projects as assigned.
- Distribute surveys and manage data collection to influence programs and process improvements to improve the recruitment experience internally and with candidates.
- Ad hoc requests from HR team, Marketing team, or leadership.
- Four years of general office or secretarial experience; OR An Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR A Bachelor’s degree and two years of general office or secretarial experience; OR An equivalent combination of training and experience
- 1 year of relevant experience
- 1 year of recruitment experience
- Experience establishing and maintaining effective working relationships with individuals from a variety of professional, cultural, and educational backgrounds and at levels in an organization
- Demonstrated ability to integrate equity and inclusion into work products, recommendations, and interactions
- Proven ability to gather and use data to support strategic decisions and plans required
- Demonstrated excellent written communication skills; proficiency in drafting correspondence, procedures, and other messaging including the ability to communicate with empathy and de-escalate difficult conversations or interactions
- Expert-level and attentive customer service skills, both in person and via phone
- Ability to work independently and with minimal direction
- Demonstrated ability to efficiently and effectively multi- task and manage many competing demands; exceptional organizational skills and attention to detail is a must
- Knowledge of state and federal employment laws that pertain to recruitment, hiring, and onboarding. Awareness and understanding of industry-related regulatory requirements
- Flexibility to meet workflow demands and try new ways of doing things
- Demonstrated ability to employ sound critical thinking skills
- Demonstrated ability to be patient, calm and communicate thoughtfully and respectfully in a fast-paced environment with competing demands
- Ability to work independently and as part of a team while being collaborative in resolving problems
- 1 year of relevant experience at an academic insitution or healthcare company
- 2 years of recruitment experience
- SHRM-CP Certification
