Job Description
DEPARTMENT SPECIFIC POSITION SUMMARY:

Accounting Support Senior Specialists in Finance in the College of Arts & Sciences provide budgetary and financial support for departments in the college. They are responsible for initiating all journal entries, budget transfers, internal billing authorizations and contracts via ICD. They prepare, monitor and maintain department operating, restricted, and foundation budgets, including pre-approving expenditures, and reconciling and tracking commitments and obligations. In addition, they provide guidance and assistance to chairs, directors, faculty and staff on the budgetary impact of various activities and decisions.

DEPARTMENT SPECIFIC PRIMARY RESPONSIBILITIES:
  • Prepare and manage assigned department operating, restricted, and foundation budgets. Advise chairs/directors on spending plans. Process non-purchasing related transactions including billing authorizations, journal entries and corrections. Track commitments and obligations. Monitor and reconcile accounts. Complete payroll audits. Complete various statistical reports utilizing university data bases and systems.
  • Approve and reconcile expenses according to prescribed standards and practices. Provide budget reports and/or summaries to faculty and staff according to the agreed upon standards and as requested by supervisor.
  • Collaborate with Principal Investigators by providing budgetary support during creation of grant proposals and manage the fiscal responsibility of grants. Provide financial oversight to all accounts including operating, restricted, foundation and on-line programs. Responsible for time and attendance reporting on grants.
  • Provide support to departments for overloads, part time instructional appointments, summer instruction, summer research and other contracts and initiate contracts. Processes contracts via ICD. Provide back up support for Administrative Specialists in the Academic Services Center as needed. Perform other duties as assigned.

 

GENERAL POSITION SUMMARY:
Supports the organization’s accounting functions. Maintains up-to-date and accurate records of daily transactions, accounts receivable, accounts payable, inventories, payroll, and various other records.

GENERAL POSITION RESPONSIBILITIES:
  • Serves as the initial contact for customers. Mentors, coaches, and trains lower-level employees on customer service and department policies.
  • Often directs work, trains, and/or supervises other staff or student employees.
  • Performs financial analyses and makes recommendations based on data.
  • Reviews the work of other employees for accuracy and compliance with accepted standards and University policies.
  • Completes and submits institutional surveys for publishers and agencies.
  • Issues purchase orders in accordance with functional policy. Communicates with internal and external customers to manage purchasing.
  • Analyzes and monitors department and program budgets. Approves and tracks expenditures.

Minimum Qualifications
Knowledge of finance and business technical and practical concepts, processes, and methods typically obtained by a high school degree or GED or equivalent and a minimum of 5 years of related experience. An equivalent combination of education, training, and experience is acceptable.

Specific knowledge, certifications, and licensure will apply at the position level.

Preferred Qualifications
Relevant experience in an academic support unit.

Pay Rate
