Accounts Receivable Technician

Job Description

Under the direction of supervision, receipts monies into fund accounts, reconciles bank accounts, posts payments for Housing and Food Services, performs billing duties and collections, and performs other related tasks. Works regularly with cash and financial data and must exercise great care in ultimately dealing with college monies.
It is expected that this individual will accomplish duties in an efficient, effective and competent manner and strive for improvement and excellence in all work performed. Additionally, this individual must understand the comprehensive role of the community college and cooperate and work harmoniously with college personnel and the public. This individual will follow all college policies, rules, regulations and guidelines as they relate to this position.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Processes receipts for all monies received by the College into appropriate funds. Accounts for all monies received from vending machines and from housing washers and dryers.
  • Prepares all sponsorship billing, coordinates with Workforce Development in creating the billing as specified by each sponsor, receipts payments, handles questions from sponsors, and handles collections for all sponsored accounts.
  • Prepares and receipts in facility use and other miscellaneous invoices as required for the College.
  • Processes receipts for all outreach centers.
  • Runs reports and receipts for Continuing Education.
  • Records all taxable items from various receipts into designated accounts. Runs reports needed to complete sales tax return to be completed by the Payroll Accountant.
  • Posts all payments for various accounts and departments, notifying appropriate persons of such payments (department heads, faculty, etc.). Runs various reports for departments as needed and requested.
  • Ascertains at the end of each working day if all receipts and corresponding checks and cash balances. Runs cash reports, and verifies enrollment check-out before submitting check-out to Payroll Accountant; ensures that cash box for Accounts Receivable position balances at the end of each business day.
  • Makes sure the cash boxes for Student Accounts Receivable Technician, Grants Accounting Technician and the vault balance each week. Works closely with AVP of Finance regarding postings.
  • Reconciles bank statements for the following accounts: Voucher Account, Payroll Account.
  • Serves as either the initiator or approver for ACH and wire payments.
  • Reconciles outreach receipts against outreach bank statements.
  • Assists in housing check-in by taking payments.
  • Assist Mustang success with foreign students’ payment on account and other tasks as needed.
  • Serves as back-up to Student Accounts Receivable Technician position and assists the Student Accounts Receivable Technician with communications, payment plans, and collections as needed.
  • Assists with the annual audits of the Business Office. Responsible for information pertaining to the Accounts Receivable Technician’s position. Answers questions and retrieves paperwork as necessary or requested by the auditors.
  • Keeps an updated file on the Children’s Center.
  • Creates new vendors and updates vendors for Accounts Payable making sure proper documentation is collected.

  • Maintains an inventory of all assigned equipment and supplies, keeping proper records as necessary.
  • Makes change for students, faculty and public.
  • Safeguards institutional physical resources by caring properly for assets assigned to the workstation and by prohibiting unauthorized use.
  • Performs filing duties in accordance with the requirements of the office.
  • Maintains safe working conditions and practices at all times.
  • Performs other duties as required
EDUCATION AND/OR EXPERIENCE:
Any combination of education and experience that demonstrates possession of the requisite knowledge, skill and abilities. A typical way to obtain these would be:
A minimum of two (2) years of position-specific or position-related experience
Two (2) to Four (4) years of experience in an accounts receivable, cashiering, or related position
One (1) to Three (3) years of related work experience in a public institution where data processing equipment was utilized, preferred

Knowledge of:
Basic principles and practices of accounting and cashiering
Western Wyoming Community College practices and procedures
Equipment and supplies inventory practices and procedures
College financial audit procedures
FERPA
State Sales Tax Regulations
Practices and principles of PC’s and related software
Colleague

Ability to:
Communicate effectively verbally and in writing
Operate a PC and related software
Maintain effective working relationships with other people
Operate basic business office machines
Utilize business calculations
Work in a fast paced, multi-tasking environment
Must be bondable

While performing the duties of this position, the employee is regularly required to sit. The employee frequently is required to use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand and walk. The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, and ability to adjust focus.

WORK ENVIRONMENT:

While performing the duties of this position, the employee regularly works in indoor conditions and regularly works near video display. The noise level in the work environment is usually moderate.
