Position Summary 
Reporting to the Assistant Dean for Honors Opportunities, the Executive 
Secretary supports multiple Assistant Deans and other staff members as 
assigned. The Executive Secretary supports the daily operations of the Gabelli 
School of Business Rose Hill’s undergraduate division. The office receives a 
significant amount of traffic, outreach, and phone calls from students, faculty, and 
administrators, especially during peak times of the academic year. 
 
Essential Functions 
Assists with general reception responsibilities such as welcoming
students, visitors, and parents, providing standard information and 
referrals, answering phones and emails, taking messages, ordering 
supplies, and coordinating communications. 
Supports assistant deans via Fordham’s Salesforce database (The Hub), 
the student record database (OnBase), and the student course scheduling 
system (Banner) with respect to student appointments, walk-ins, sign-ins, 
student notes, registration, and student record-keeping, especially during 
high-volume periods of the year (registration, withdrawal, and add/drop). 
Maintains knowledge of weekly advisor schedules, advisor’s preferred 
method of response when not available, preferred method of contact 
regarding forwarding of complex questions, and dissemination of accurate 
information to students and parents on behalf of advisors. 
Manages student electronic records, including but not limited to scanning, 
uploading/downloading, processing, filing, and following through to ensure 
they are properly processed and reflected in student records. 
Supports, and in some cases leads, in event planning for undergraduate 
events including, but not limited to, open house, orientation, spring 
preview, admitted student days, town halls, dean’s list, graduation, awards 
ceremonies, large group advising sessions, transfer sessions, academic 
advising, student case competitions and other events where the assistant 
deans are the primary organizers and/or presenters. 
Assists with emerging Dean’s Office situations that require keen problem-
solving skills, including assisting with time-sensitive student notifications, 
outreach to other offices, etc.

Required Qualifications: Education and Experience 
High School Diploma or equivalent 
Minimum of 3 years administrative experience. 
 
Required Qualifications: Knowledge and Skills 
Strong organizational, interpersonal, and communication skills 
Proficient in Microsoft Office and Google Workplace 
Ability to work independently and in a team-oriented environment 
Ability to prioritize and manage multiple tasks effectively 
Ability to maintain a high level of confidentiality and discretion 
Comfortable with learning new software platforms and databases 
Successful candidates should have a knowledge of and commitment to 
the goals of Jesuit Education.
