Position Summary 
Reporting to the Chair of the Computer and Information Science Department, the 
Executive Secretary will manage the day-to-day operations of the Department. 
Some of the tasks include organizing files and collecting data from faculty, which 
may include course syllabi, exams, and textbooks. The Executive Secretary will 
also be tasked to handle scheduling. This position may require weekends and 
holiday work hours. Additionally, the incumbent must be able to travel and work at 
both Rose Hill and Lincoln Center when needed. 
 
Essential Functions 
Facilitates and submits documentation on all departmental hiring request 
procedures, including but not limited to adjuncts and hourly workers for all 
three campuses (LC, RH, PCS). 
Manages the scheduling of all activities related to the visits of new tenure 
track candidates. 
Coordinates the faculty’s monthly research seminars; this includes 
corresponding with guests, managing the event, and planning the process. 
Orders all office supplies in a timely fashion and monitors supply inventory. 
Coordinates with the department administrator regarding all department 
purchasing requests and follows up on receipt of equipment and invoice 
processing. 
Utilizes the University’s database program BANNER to generate various 
reports to support the Department Chair, Undergraduate Associate Chairs, 
and Program Directors. 
Assists with the undergraduate course schedules, including staffing with 
the Department Chair and Undergraduate Associate Chair, which includes 
submitting schedules and assigning courses to Enrollment 
Services/Academic Records. 
Submits major declarations, course overrides, and advisor changes at 
Rose Hill and Lincoln Center for academics. Provides supplemental 
advising for CIS majors and minors. 
Assists with reservations through R25Live and space assignments for the 
CISC maintained space. As well as assisting the RH/LC faculty with 
accommodating arrangements for their offices. 
Answers phone calls, takes messages, and makes faculty appointments.

Monitors and proctors makeup exams, as needed. 
 
Required Qualifications: Education and Experience 
High School diploma or equivalent 
Minimum of 1 year of coursework or experience related to management, 
human resources, organizational effectiveness, and administration. 
 
Required Qualifications: Knowledge and Skills 
Working knowledge of Microsoft Office and ability to quickly learn other 
computer applications. 
Must be well-organized and highly motivated with strong interpersonal and 
communication skills, excellent diplomacy, and discretion in handling 
confidential and/or sensitive material. 
Must be able to work well with others in a collaborative atmosphere and a
positive attitude. 
Mandatory Competency Testing. 
Successful candidates should have a knowledge of and commitment to 
the goals of Jesuit Education.
