Position Summary 
Reporting to the Chair of the Chemistry & Biochemistry Department, the 
Executive Secretary assists the Chair in a number of different areas regarding 
administrative support. The tasks range from tracking student research progress, 
space and facility coordination, and maintaining payroll-related tasks. 
 
Essential Functions 
Answers phones, collects mail, maintains office supplies, submits work 
orders, and reports custodial issues. 
Corresponds and tracks the progress of students enrolled in 
undergraduate research. 
Coordinates the department’s weekly seminar with faculty; this includes 
coordinating with speakers from other institutions, corresponding with 
them, and coordinating the event or meeting planning process. 
Plans the course schedules, including staffing with the department chair 
and associate chair. 
Assists and maintains the department’s operations, including hiring 
requests and handling all of the logistics for faculty and staff searches. 
Maintains the scheduling of all activities related to the candidates’ visits. 
Serves as the primary administrative liaison between the department and 
various offices of administration and other departments, particularly the 
Office of Research, the Office of the Provost, Human Resources, 
Procurement, the Dean of Faculty of A&S, as well as the FCRH, FCLC, 
and PCS Deans. 
Assists with coordinating all space assignments for all full-time faculty at 
the Rose Hill campus and assisting Rose Hill adjunct faculty with 
accommodations and arrangements for their offices. 
Assists the chair in coordinating/maintaining construction/remodeling 
projects/work requests that arise throughout the summer and during the 
school year and their completion. Communicates with Facilities and 
Engineering and outside construction companies and contractors regularly 
throughout the calendar year on these projects. 
Maintains the distribution of all payroll-related issues. 
Maintains the budget. 
Implements all accounts payable transactions and procurement 
procedures and maintains all departmental expenditures for instructional 
and research equipment and acquisitions with the chair and associate 
chair. Maintains and updates all textbook orders for all courses. 
Monitors students taking makeup and disability accommodations for 
exams and maintaining the proctoring for these as needed. 
Maintains and updates the department Google calendar, online 
department publicity, and Castnet monitors in the JMH building.

Required Qualifications: Education and Experience 
High school diploma or equivalent 
 
Required Qualifications: Knowledge and Skills 
Must be personable and professional 
Must be well organized and motivated with strong interpersonal and 
communication skills. 
Proficient in Microsoft Word, Excel, and PowerPoint. 
Able to multi-task in a fast-paced office as it relates to the requests of the 
supervisor. 
Ability to maintain discretion and confidentiality. 
Mandatory Competency Testing. 
Successful candidates should have a knowledge of and commitment to 
the goals of Jesuit Education.
