Work Week

40 Hours | Flexible schedule to meet department needs, includes evenings and weekends

Position Summary

The Talent Management Specialist facilitates the Human Resources department’s onboarding, student employment, and employee engagement programs, as well as being responsible for faculty professional development records administration. They have chief responsibility for coordinating the department’s internal communications, which includes duties such as development and upkeep of the department’s video Welcome presentation, updating and maintenance of HR’s SharePoint page, eNews announcements, and other communication vehicles as appropriate.  As needed, the Talent Management Specialist will support the work of Employee Development, assisting with such things as training/workshop announcements, event enrollment, and acting as an assistant during employee development offerings as required. They will also work in tandem with Talent Acquisition to represent McHenry County College (MCC) at recruitment functions and new student orientations, acting as backup for this individual when they are out of the office. 

Essential Job Functions and Responsibilities

Onboarding

  • Consult with and guide administrators regarding onboarding of new employees, acquainting them with the College’s processes and ensuring that all new employees receive a similarly engaging and inviting experience.
  • Refine, develop and distribute materials designed to streamline and improve the onboarding process.
  • Serve as host for new hires, developing and disseminating employee’s first-day itinerary, welcoming them to MCC, and acting as first point of contact for all new hire questions and support. 
  • Enter all new hire information into Colleague, MCC’s enterprise system and supporting spreadsheets.
  • Coordinate 30-60-90 day check-in for new employees.
  • Order and maintain inventory for all MCC new hire swag.
Student Employment
  • Facilitate the student employment process at MCC, working with hiring managers to get their student employment jobs posted and student workers hired.
  • Initiate the College’s background check process for any student employee finalists.
  • Enter new student employee information into MCC’s enterprise system and assure all new hire paperwork is completed in an accurate and timely fashion.
  • Serve as chief point of contact for all student employment inquiries.
  • Represent MCC/MCC HR at all internal student engagement/recruitment events.
Employee Engagement/Recognition
  • Coordinate the annual Employee Awards event, held each spring.  Act as chief liaison with departments such as the Office of Marketing and Public, the President’s Office, and Business Services on matters such as employee awards and gifts, signage, and messaging.  
  • Take the lead on other employee engagement and recognition activities, such as the Kudos program and Bagel Wednesdays.
Internal Communications
  • Develop and maintain content for the department’s video Welcome screen.
  • Update and maintain content for the department’s SharePoint page.
  • Draft and submit eNews announcements (i.e. new hires, retirements, resignations, etc.).
  • Draft and distribute various email announcements as needed.
Employee Development Support
  • Maintain the faculty professional development database, assuring the records within are updated regularly and accurately, and report on faculty development efforts when requested.
  • Support Employee Development in various ways, such as assisting with training/workshop announcements, event enrollment, and by acting as an assistant during employee development offerings as required.
Talent Acquisition Support
  • Post jobs on the MCC job site
  • Report new hire data to the state monthly
  • Add and/or update job descriptions in MCC’s ATS
  • Add hiring committee members to the requisition within the ATS as requested by committee chairs
  • Collaborating with the Talent Acquisition, staff internal and external recruitment events 
  • Provide backup to the Talent Acquisition Partner when they are out of the office
Other
  • Other similar duties as assigned by supervisor.

Required Qualifications

  • A minimum of an Associate’s degree or comparable work experience

Desired Qualifications:

  • Prior experience in Human Resources, in particular with responsibility for supporting the hiring and onboarding of new employees
  • Experience writing and editing internal communication
  • Knowledge of Sharepoint and how to level the tool in a way that is engaging and visually appealing
  • Experience with HR related enterprise and/or applicant tracking systems, such as Colleague, Workday, Paylocity, NeoEd/NeoGov, PeopleAdmin, Oracle, ADP, iCIMS, and/or Greenhouse
