Position Summary

 

The Administrative/Admission Assistant to the Center Director is responsible for providing office management assistance to the Center Director and assisting the Center Director in the daily functions of all facility programs, including those inside the correctional institution and any other sites the Center Director manages. The primary responsibilities for this position are listed below; however, the Center Director or his/her designee may assign other professional duties to meet the College's needs.

 

Essential Duties and Responsibilities

 

  • Performs various complex clerical and administrative tasks requiring the application of independent judgment and knowledge of regulations, policies, or procedures; filing.
  • Ability to compose letters and memorandums independently.
  • Prepares replies to correspondence from brief dictated notes or on own initiative.
  • Performs complex clerical and secretarial work involving detailed request duties of an administrative nature.
  • Screens telephone calls and incoming mail.
  • Takes and transcribes minutes of meetings.
  • Prepares material for meetings, notices, resolutions, agendas, and related reports.
  • Extensive knowledge of the operations, functions, and scope of authority of departments and offices related to handling and disposing of information and requests for information.
  • Issues and tracks work orders and provides live-work status reports; receives payment for work orders and makes direct deposits in accordance with College procedures.
  • Ability to maintain the confidentiality of office information.
  • Assist with college events for college functions (including the ISTC Foundation, College tours, Graduation, Professional Development meetings, etc.)
  • Process student registration, graduation, and job placement data for reporting purposes using tables, charts, graphs, etc.
  • Must be eligible to enter any/all Department of Corrections (DOC), Federal Correctional Institutions (FCI), and Pardons & Paroles Facilities to perform the job duties and maintain this status for continued employment.
  • Performs other duties as required by the Center Director or their designee.
  • Serves on College committees as needed.
  • Possesses understanding and commitment to a community and technical college's philosophy and mission.
  • Possesses a sensitivity and commitment to cultural diversity.
  • Complies with any applicable guidelines and policies set forth by the Alabama Community College System (ACCS) Board of Trustees, the Alabama Community College System, and J.F. Ingram State Technical College.

 

Qualifications

 

An associate’s degree from a regionally accredited college or university, or at least two (2) years of experience in the field or a related field, or an equivalent combination of experience and education is required. Five (5) years of clerical/administrative experience; three (3) years must have organization, coordination, and performance of duties at a responsible level is preferred.

Salary Range: Salary will be determined by placement on the appropriate Alabama Community College System-approved salary schedule. 
E3 03 ($45,220 - $62,710)

Sick Leave
All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Up to 10 days a year of professional development leave with pay may be granted by the President.

Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. The TRS is a defined benefit plan qualified under Section 401(a) of the Internal Revenue Code. All regular full-time and part-time employees (non-temporary and non- student) who work at least 20 hours per week are required to participate in The Teachers' Retirement System of Alabama.
Tier I - Pays 7.50% monthly. State matches 12.59% (effective 10/01/22)
Tier II – Pays 6.20% monthly. State matches 11.44% (effective 10/01/22)
Law Enforcement Officers:
Tier I-Pays 8.50% monthly. State matches 12.59%(effective 10/01/22)
Tier II- Pays 7.20% monthly. State matches 11.44% (effective 10/01/22)

Health Insurance
PEEHIP, established in 1983, provides health insurance benefits for active and retired education employees and is governed by the PEEHIP Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA.
