Summary of Position

Under general supervision from a designated supervisor, directly supervise various professional level personnel responsible for grounds and events operations. Functions include scheduling work/closing work orders, quality control inspections, developing and mentoring employees, employee safety, customer interface and general administration tasks associated with all aspects of grounds and turf maintenance (including snow removal operations), related equipment, supplies and events support functions.

• Combined 6 years of education and experience, including one or more of the following:
o Journeyman License and 4+ years trade experience
o Masters License and 2+ years trade experience
o HVAC 2 year educational program (must be completed) and 4+ years trade experience
o Associates degree in Engineering, Facilities Management, or related field and 4 years’ experience in related work
o Bachelor’s degree in Engineering, Facilities Management or related field and 2 years’ experience in related work
o Vocational classes or other trade certifications, licenses, education, and experience equivalent to 6 years

• Ability to operate various Grounds equipment. CDL license (or ability to obtain one within 6 months)

• Is considered an “Essential Personnel” position. Ability to work a flexible schedule, including weekends, overnights, and long shifts as required based on scheduled University events (such as graduation) and weather (snow removal) events.

Additional Preferred Qualifications

• Prior supervisory or management experience in a related work environment is preferred but not required.

• Snow removal experience preferred but not required.

Duty/Responsibility

Supervision of staff: 
• Responsible for daily supervision of employees assigned. Ensure code and safety compliance of employees, including mandatory logs and time keeping. 
• Schedule and assign the work for the day 
• Responsible for coaching, developing and mentoring assigned employees 
• Responsible for timecard approvals and daily auditing of timecards for pay code, hours worked, and work order accuracy. 
• Conduct daily shift meetings to communicate the work for the day, important events, and updates that impact Facilities. 
• Participate in the interviewing and hiring process as determined by manager 
• Inform manager and HR of any employee disciplinary concerns 
• Performance reviews for assigned staff 
• Responsible for communicating and enforcing organizational policies and procedures. 
• Communicate daily attendance to Facilities Control Center

Duty/Responsibility

Work management & quality control: 
• Assign daily work according to priority 
• Review work orders and assignments for accuracy and ensure information is complete 
• Perform daily field audits of work assignment for quality control, to include hours assigned, materials used, and completion timeframes. 
• Close out completed work orders. 
• Ensure materials are available in a timely manner, working with the warehouse or outside suppliers as needed 
• Utilize technology and mobile app for efficiency. Assure proper routine maintenance is performed on motorized equipment. 
• Advise and serve as a point of contact for contractors on the installation and/or operation of equipment, hardscape designs and installations. 
• Assist with scheduling of work for off-hour events; which may include off-hour performance of supervisor duties, including snow removal during curtailed periods 
• Respond to campus emergencies as needed.

Duty/Responsibility

Customer service: 
• Responsible for providing the highest level of quality of service for grounds and events needs to assigned customers. 
• Serve as the secondary point of contact for customers in assigned area. 
• Continuously communicate with customers regrading work being planned, in progress, and completed work. 
• Follow up with customer questions, complaints, or compliments in a timely manner. 
• Ensure employees are meeting customer service expectations, standards, and guidelines and are regularly checking in and out with customers who request work. 
• Customer point of contact when Manager is on vacation/out of the office

Duty/Responsibility

Administrative & financial: 
• Emails, voicemails 
• Review nightly report for action items to follow up on 
• Maintain appropriate inventory and order supplies, tools, and equipment 
• Review all travel slips and p-card transactions 
• Support manager in execution of actual budget to forecasted budget 
• Assist other Facilities departments as projects require 
• Participate in construction meetings as needed 
• Serve on Division committees as required

Building/grounds condition and systems assessment, planning, & sustainability: 
• Assessment of current systems 
• Planning for future needs 
• Make recommendations for achieving university sustainability goals

• Lead employees in all safety practices

• Coordinate department specific training 
• Monitor employee licensing and certification requirements 
• Collaborate with department manager to ensure employees attend required training and classes per licensing requirements
