Essential Job Duties

We are seeking a highly organized and efficient Program Coordinator to join the Eat Smart, Move More, Weigh Less (ESMMWL) and Eat Smart, Move More, Prevent Diabetes (ESMMPD) program teams. The applicant must demonstrate the ability to multi-task and work efficiently in a complex environment with competing deadlines. Excellent organizational skills, highly efficient with meticulous attention to detail are required to effectively assist the program team in coordinating, implementing, and reporting on these programs. A successful candidate will also have good customer service skills.

Responsibilities:
  • Lead program evaluation and data analysis for the programs including development of evaluation databases and creation of internal program outcome reports as needed.
  • Provide quality and timely evaluation for the programs, including but not limited to:
    • Creating class series-specific evaluation surveys on an ongoing basis for instructors.
    • Ensuring all participant data is collected and stored appropriately.
    • Creating and maintaining codebooks and value labels for all databases.
    • Maintaining up-to-date copies of all databases and online evaluation surveys.
  • Lead preparation of participant outcomes reports for clients as needed.
  • Create detailed annual reports for program instructors to individually share participant feedback collected from program evaluation surveys as well as class-specific outcomes data.
  • Review and provide feedback to select instructors for their communication with class participants through the online portals.
  • Manage credentialing process and file all related paperwork for program instructors to ensure they are in-network with insurance companies for the purposes of claims filing.
  • Manage claims submissions for ESMMWL & ESMMPD as indicated in agreements and track incoming payments. Follow-up on denied or unpaid claims as necessary and re-submit claims in a timely manner. Current claim categories include, but are not limited to, Administrative Services Only member claims, Telehealth Group Nutritional Counseling claims, etc.
  • Manage inventory and mailings of program materials and attendance-based incentives to enrolled program participants based on outlined protocols.
  • Lead the process to identify an appropriate vendor and oversee the implementation of annual penetration testing for the program servers and websites as indicated in client agreements.
  • Provide primary coverage for the ESMMWL administrator email account and respond to daily emails in a timely manner.
  • Assist ESMMWL & ESMMPD coordinator with marketing efforts for the programs including regular Constant Contact emails to clients, attending marketing events, etc.
  • Schedule and send Constant Contact emails to enrolled program participants including welcome to the program, meet your instructor, thank you for participating emails, etc.
  • Collect, organize, and post participant testimonials on program websites.
  • Coordinate and maintain a database of instructor subrequests.
  • Attend and report at regularly scheduled team meetings.

Minimum Education and Experience

  • Master’s degree in public health, nutrition, health education, nursing, or related field.

Other Required Qualifications

  • Proficiency in oral and written communication
  • Proficiency in using MS Excel.
  • Prior experience with assisting a multi-functional program team and successfully completing a variety of tasks.
  • Prior experience with submission of medical claims to insurance companies
  • Must be self-initiating in creating a plan and implementing a project of statewide reach.
  • Able to multi-task and work efficiently in a complex environment, which requires navigating work between a higher education institute and public health.
  • Must have good human relations skills.
  • Evaluation, tracking, and/or oversight of a health education program.
  • Proficient in oral and written communications.

Preferred Qualifications

  • Experience working with a CDC-recognized diabetes prevention program.
  • Experience with project coordination and excellent organizational skills.
  • Experience using common email marketing platforms such as Constant Contact and web content management platforms such as Word Press.

Required License(s) or Certification(s)

  • A valid driver’s license is required for travel. NC driver’s license is required within 60 days of hire and must be maintained.
