Job Description Summary

The UF@SF Center supports student access and admissions to all bachelor's degree programs at the University of Florida (UF) and Santa Fe College (SF).

The UF@SF Center Assistant facilitates and administers the day-to-day operations of the UF@SF Center serving as the receptionist and working as part of a team providing department support in financial, reporting, event planning, service to students, support of transfer events and activities, providing general transfer advising information, and referrals for the bachelor's degree programs at UF and SF. Additionally, this position may supervise the work of others and has accountability in areas of assigned responsibility.


*This position is $17.37/hour for 22 hours a week. The work week is Monday-Friday, M-Th from 9:30am to 2:30pm and F from 9:30 to 1:30 pm.

 

Job Description

Responsibilities and duties include:

  • Provides support activities for the department such as answering telephones, assisting in the coordination of special events, scheduling appointments or assisting students, college employees and the public by responding to concerns/inquiries to resolve issues based on established college policies and makes appropriate referrals as necessary.
  • Performs front desk tasks as appropriate, assisting staff, faculty, students, and/or the public in person or via phone with issues and/or departmental requests.
  • Serves as the first point of contact for current and prospective students and their families for SF and UF transfer degree programs.
  • May assist students with application, enrollment, testing, and registration processes or other specific student support services, which may include specific aid and eligibility guidance.
  • Communicates, collaborates, and maintains relationships with internal and external community constituents.
  • Schedules, greets and assists UF advisors for transfer advising programs each semester
  • Organizes and facilitates meetings and special events; schedules and coordinates dates and times, venues, attendance, agendas, and facility arrangements.
  • Monitors, reconciles, and assists with fiscal administration for the department including, but not limited to, budgets, funding, purchase orders, grants, and/or contracts.
  • Facilitates, monitors, and/or oversees department purchasing, inventory, and requisitioning of supplies and equipment.
  • May process and audit payroll records.
  • May assist with fiscal planning including participating in seeking alternative sources of funding.
  • Prepares special reports, summaries or replies to inquiries by compiling data and statistics from various departmental resources.
  • May supervise and train other support staff including student employees and volunteers.
  • Assists in scheduling of building and equipment maintenance.
  • May manage and update program websites and publications with the most current, accurate, and timely information.
  • Complies with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.
  • Strictly honors the privacy, security, and confidentiality of student records and other sensitive information according to appropriate state, federal, and college regulations, policies, and procedures.
  • Provides service excellence through courteous, informed, accessible, and professional engagement.
  • Performs other duties as assigned.

Reports to: Manager, UF@SF

QUALIFICATIONS

Required: An associate's degree with two (2) years of customer service experience and/or a combination of education and experience equal to four (4) years. Basic working knowledge of Microsoft Office Word and Excel.
Additional Requirements: A criminal background check will be conducted. Must be able to deliver documents across campus, set up chairs, and move small boxes in an outdoor storage room.
Preferred: Familiarity with Santa Fe College and previous customer service experience in an education setting.

  • Multi-task - Ability to expeditiously organize, coordinate, manage, prioritize, and perform multiple tasks simultaneously to swiftly assess a situation, determine a logical course of action, and apply the appropriate response.
