The Senior Staff Administrative Assistant plays a vital role in creating a welcoming and professional atmosphere for faculty, staff, students, and visitors at the Law School. As the first point of contact, you will embody our values of respect and professionalism, ensuring that all interactions reflect the high standards of our institution.
In this position, you will provide essential administrative support to the Senior Executive Director of the Law School and a range of senior staff members, including the Director of Academic Affairs and Registrar, the Program Director of Alumni Relations, the Director of Finance & Administration, the Director of Information Technologies, the Director of Marketing and Communications, and the Director of the Law Library. This role requires exceptional multitasking skills and the ability to manage various responsibilities in a fast-paced environment.
What you’ll do!
- Coordinate multiple deadlines and assignments from senior staff and department heads.
- Assist departments with creating and submitting travel and expense reports in compliance with University and Law School policies.
- Provide general administrative support, including drafting correspondence, printing, faxing, and mailing.
- Schedule meetings and reserve meeting spaces using EMS or Google.
- Manage front desk operations, including greeting visitors and answering the Law School’s main phone line and email account.
- Arrange team lunches and outings, and manage office supply orders, business cards, and letterhead.
- Maintain faculty and staff break rooms, ensuring inventory and supply ordering.
- Handle all student employment processes, including job submissions and Ultratime reporting.
- Process annual living stipends and summer stipends awarded to students.
- Process departmental invoices and manage JV funds as needed.
- Supervise a student worker on various administrative tasks.
- Assist with building security protocols as necessary.
- Perform other duties as assigned to support the success of the Law School.

Minimum Qualifications
- Minimum of 3 years of administrative support experience
- Professional and welcoming demeanor
- Excellent grammar, punctuation, and spelling skills
- Collaborative team player with a willingness to assist others
- Proficiency in Ultratime, GLez, Concur, EMS, Google Suite, Word, Excel, PowerPoint, and Adobe Acrobat
- Ability to work independently and prioritize tasks effectively
- Strong multitasking skills with the ability to meet multiple deadlines
- Highly organized with strong attention to detail and accuracy
- Commitment to understanding and supporting the mission of the Law School
Preferred Qualifications
- Prefer 5+ years administrative experience with increasing responsibilities
