Position Summary/Purpose of Position:

This role oversees front office operations, managing customer eligibility for services, appointment scheduling, insurance verification, payment collection, and resolving system issues. Responsibilities include coordinating provider schedules, handling appointment requests, managing medical records requests and subpoenas, and engaging extensively with students and visitors.

The position includes supervisory duties, ensuring efficient customer processing, accurate information exchange, and successful appointment and billing processes—emphasis on delivering exceptional customer service, maintaining fiscal responsibility, and supervising Registration staff. Additionally, the role involves leading assigned projects such as surveys, data collection, report preparation, and presentations. This position is crucial during public health emergencies and may require Saturday work.

Minimum Qualifications:

Experience:
  • Minimum 5 years’ experience with front desk operations in a medical setting required.
  • Minimum 2 years Supervisory experience required.
  • Experience in data analytics and analysis.
  • Project management experience.

Knowledge, Skills, and Abilities:
  • Requires thorough knowledge of front desk operations in a medical setting.
  • Requires extensive knowledge about accessing medical insurance information.
  • Skilled in use of common computer office software.
  • Ability to interact with challenging and diverse customer mix.
  • Ability to learn and utilize different computer programs and software.

Essential Duties and Responsibilities

Essential Duty/Responsibility (1): | Provide hands-on customer service at the bustling front desk, including greeting customers, verifying eligibility, processing payments, offering service guidance, and addressing inquiries. Stay informed on front desk protocols through training sessions, reading materials, teleconferences, and webinars to effectively train colleagues. Develop front desk protocols, procedures, and training modules as indicated.
Percentage (1): | 40%

Essential Duty/Responsibility (2): | Supervise financial transactions, ensuring adherence to University and Health Center cash handling protocols. Collaborate with colleagues to maintain accuracy, security, and accountability in all front-desk financial operations. Perform additional tasks as required
Percentage (2): | 15%

Essential Duty/Responsibility (3): | Participate in and spearhead assigned projects, including but not limited to patient surveys, data, and information collection, and preparation of various reports and presentations related to front desk procedures, utilization, and staff development.
Percentage (3): | 15%

Essential Duty/Responsibility (4): | Adhere to established policies and standards to maintain patient confidentiality, uphold data security, and comply with all applicable regulations of the health center and university. Serve as a representative of the Health Center when interacting with students, parents, and colleagues as required.
Percentage (4): | 15%

Essential Duty/Responsibility (5): | Supervises registration staff and oversees the daily operations of patient admission and intake processes. Addresses and resolves issues concerning customer and staff access to services and collections. Conducts regular meetings with administrators and stakeholders to identify and implement solutions.
Percentage (5): | 15%

Salary range is $54,902 – $68,628.
