Serves as the Human Resources Liaison point of contact between partner units, UF/IFAS HR, UFHR, and Payroll and Tax Services. Provides HR expertise, resources, and guidance to partner units.


Examples include:
  • Coordinates and administers training on human resources best practices to partners across IFAS to increase workforce competence, employee engagement, requiring the ability to inform, guide and advise managers in HR-related initiatives.
  • Provides guidance to partner units related to time and labor processes, leave of absence, reclassifications, special pay increases, etc.
  • Checks budget and notifies the Fiscal and/or Grants Team of any hires, edits, or other HR actions that impact budget.
  • Works with department supervisors and UF Leave Administration on complex leave issues.
  • Reviews and prepares the initial allocation of payroll distributions for faculty, staff, post-docs, fellows, graduate students, student assistants, and OPS related to initiating any HR action.
  • May coordinate the employee performance appraisal process by sending reminders and providing other administrative support.
  • Provides administrative support services to departments/centers and foreign nationals related to processes associated with the sponsorship of exchange visitors, temporary workers, and employment-based permanent residents.
  • Responsible for completing online Effort Reporting and Faculty Assignment reports each semester. Works directly with faculty members to resolve problems.
  • Communicates with partner units upon the completion of all HR transactions, including details of next steps.

Operational Functions:
Review, coordinate, and approve level one Faculty (salaried, OPS), Post Doc Associates, graduate assistants, student assistants, and Pre and Post Doc Fellowship, TEAMS, USPS, and OPS appointments that include new hires, job changes, resignations, terminations, retirements, leave of absence, additional payments, and leave cashouts. Complete biweekly paylist reviews, as appropriate. Provide guidance regarding policies and procedures to departments and units regarding a wide range of human resources/employment actions.

Organizational Development and Project Management:
As a member of the UF/IFAS Human Resources team, analyzes, prepares, and enters financial and human resource transactions in MyUFL on behalf of partner units. Coordinates/administers professional development opportunities to help individuals learn/apply new knowledge and advance within IFAS. Evaluates all transaction requests for compliance with applicable university, state, and federal rules. Requests additional documentation or explanation, if necessary, and escalates complex transactions to higher-level specialists for further action. Assists the Executive Director and IFAS HR leadership team with managing special projects, to include communications, presentations, onboarding program, tracking OPS employment thresholds, employee evaluations, etc.

HR Policies, Procedures, and Reporting:
Responsible for staying abreast of all processes, policy, regulatory, compliance, enterprise system upgrades, and technology changes related to HR. Interpreting and communicating all updates/changes to campus partners and collaborating with units as applicable. Implementing changes to internal processes includes participating in business process reviews and providing recommendations for improvements for efficiency or to better support partner units. Assisting in updating and maintaining documentation on internal controls and process guides, including flowcharts, templates, and instruction guides, as assigned. Prepare ad hoc department HR reports, as needed. Responsible for actively addressing issues and/or errors associated with all HR transactions. Provides solutions for complex HR processes or transactions, processes, providing solutions for errors or issues Actively addresses issues associated with any HR transactions and/or errors and follows through with resolution.

Other duties as assigned, to include assisting other team members as needed to cover for increased volume and/or absences to ensure seamless continuity of service to customers.

Minimum Requirements:

Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.

  • Ability to establish goals and priorities and make decisions based on program and institutional policies.
  • Ability to adapt to new shared service technologies; this position will work in multiple technologies, often simultaneously.
  • Experience using Microsoft Office applications and PeopleSoft.
  • Must possess a professional attitude and demeanor which is conveyed in all interactions, communications, and appearance.
  • Must be able to work well in a team environment and be a team player.
  • Must be self-motivated, flexible, and willing to learn new systems.
  • Strong organizational and time management skills.
  • Ability to work under pressure in order to meet internal and/or university deadlines.
