Geosyntec has an exciting opportunity for an Administrative Specialist for our San Diego, CA office. This is a fast-paced position that provides general support to the office and staff. This position is responsible for making an excellent "first impression" in greeting clients and visitors. Primary responsibilities include managing the front desk and common areas, including storage units, maintain company vehicles, processing incoming/outgoing mail and FedEx shipments, inventory/ordering supplies, scheduling appointments and assisting with administrative tasks. This position requires strong attention to detail.

Essential Duties and Responsibilities
    Perform office tasks including receiving clients and visitors, and scheduling use of conference rooms for meetings;
  • Maintain company vehicles, including DMV and Fastrak. Keep records organized and up to date;
  • Reviewing outgoing correspondence for grammar and consistent format;
  • Photocopy, assemble, and bind technical and non-technical documentation;
  • Perform typing duties to include envelopes, forms, labels, letters and memoranda;
  • Deliver and collect daily mail; organize and distribute incoming mail; prepare and distribute Federal Express packages and other courier and freight services;
  • Assist with ordering, purchasing and the inventory of office supplies, printer, and photocopier supplies;
  • Maintain reproduction equipment and supplies, make appropriate service calls, and ensure all branch copiers are supplied daily;
  • Assist with local business errands as needed; and
  • Perform other clerical functions, as required.
Skills, Experience and Qualifications
  • Graduation from an accredited high school, or GED, with supplemental course work in word processing, secretarial preparation, business, office procedures, English, and related subjects, and a minimum of two (2) to three (3) years of administrative work experience performing reception and/or clerical duties in a professional work environment; or any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.   • Experience with using office equipment, including computers and associated software in a Windows environment
  • Minimum typing speed of 35 wpm and familiarity with a 10-key data entry. (required)
  • Knowledge of departmental operations, policies, and procedures. (required)
  • Demonstrated organizational and multi-tasking experience. (required)
  • Valid U.S. driver's license and a satisfactory driving record for business travel. (required)

Below are the potential compensation ranges that we in good faith believe are applicable for this role at the time of this posting and are only applicable for jobs to be performed in the specified California locations below. The typical base salary range for this position is just one component of Geosyntec's total compensation package for employees. Based on state and federal requirements, this position may be hourly and overtime-eligible or salaried eligible for straight-time overtime. Actual compensation will be determined based on education, experience, skill set and location.

  • Minimum: $24.02/hourly / Maximum: $33.63/hourly (San Diego)
