Position Summary
The person in this position provides support for the Executive Director of Workforce Development. This position works with workforce development departments and the WorkForce Center staff to deliver contract training to local employers. This position provides administrative support such as external/internal client, student, and staff communication, both written and verbal. Use of MS Suite tools to track project milestone and progress is required.
Reports to: Executive Director Workforce Development-CWD

75% Provides administrative support to BIT Workforce Program/Executive Director WFD:
- Provide administrative support to Executive Director of Workforce-related to management of WFD program area needs.
- Maintains all office supplies and orders instruction materials.
- Orders office supplies and maintains inventory of office supplies.
- Proofs numerous documents and reports including the official course schedule in Lumens/Colleague, the official printed schedule of courses, the college catalog, and grade/attendance sheets for all class sections.
- Reviews open enrollment book adoptions each semester, research updated textbooks, and prepares the adoption forms for program coordinator approval. Email the signed forms to the textbook manager.
- Prepares teaching contracts and letters of agreement for upcoming classes. Communicates with instructors via phone and email to confirm logistics and course needs.
- Prepares completion certificates for Paralegal and Entrepreneur and Small Business (ESB) students. For Paralegal students, scans and emails an electronic copy and mails the printed copy.
- Creates attendance registers in my Learning notifying instructors of their attendance requirements and distributes course section rosters to instructors. Contacts missing students when reported by instructors if the student has not withdrawn.
- Compiles feedback on course evaluations and provides to instructors.
- Completes CSCF forms, submits for program staff review, and emails the forms as directed.
- Prepares print shop material for college bookstore. Order adopted books and ancillaries for all instructors.
25% Provides course management/delivery support to WorkForce Center Contract Clients- Ensures classrooms/computer labs are set up appropriately for training. Delivers course materials as requested.
- Reserves classrooms/computer labs as needed for contract training courses while contract is being routed for approval.
- Maintains accurate contract client communication logs. Communicates with clients to support contract processes, course delivery and close out to include billing to client.
- Other contract support as needed.
- Performs other related duties as assigned.
Minimum Education and Training
- High School diploma or equivalency.
- Proficiency with Microsoft programs including Excel and Word.
- Two years of experience with administrative work in a professional setting, preferably educational.

- Strong technology skills
- Excellent written and oral communication skills
- Ability to work independently with minimal supervision.
PHYSICAL DEMANDS:
The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly.
WORK ENVIRONMENT:
Office environment, interspersed with occasional classroom and or client areas.
