What You Can Expect as a Business Operations Associate at ND
The Business Operations Associate will serve as the primary business point of contact for Football staff and its operation, and other key areas within Athletics, including expense and purchasing review and policies and procedures education. A top performer will provide a consistent high level of customer service to Athletics stakeholders and campus partners. Collaborating with University Stewardship and Athletics Advancement, this position will execute proper use of endowments and expendable restricted funds and timely reporting to benefactors on the usage of those funds on an annual basis. Taking an expanding role in Athletics taxable benefit management, the Business Operations Associate will be responsible for updating and communicating to staff the taxable fringe schedule semi-annually (calendar and academic year), compiling and analyzing data, and reporting to the Tax Department. As a member of the Athletics Business Office team, assists with the development of formal Athletics policies and procedures, communication and education plan to staff, provide ongoing updates, and review expense reimbursements and purchases to ensure adherence to policies.

What We Require from You
· Bachelor’s Degree
· Minimum of one-year experience in finance or a related field
· High level of detail orientation with focus on accuracy and organization
· Excellent problem-solving and critical thinking skills
· Ability to multi-task while working both independently and as part of a team
· Knowledge of NCAA Division I Athletics
· Proficiency with Microsoft Office suite software, Google Sheets and Google Docs
· A sense of humor!
The Fine Print
- Accounts Payable – Expense report compliance review, and ensuring adherence to purchasing guidelines for Football and other key areas, including ongoing training and education on both University and Athletics’ Travel, Purchasing & Expense policies. Reconcile and verify the support for each expense item and ensure the compliance of travel and entertainment expenses submitted for reimbursement or purchase with all IRS, University, NCAA and conference rules and regulations for varsity team travel, coaches recruiting-related travel, and select members of the Athletics administration.
- Stewardship Reporting – Work closely with University Stewardship, Athletics Advancement, and Assistant Director, Business Operations on annual impact reporting for Athletics endowments and expendable restricted funds for benefactor communication. Collaborate with key contacts within Athletics and on campus to ensure reports are drafted to meet key University deadlines.
- Policy Maintenance and Enforcement – Collaborate with Business Office and other Athletics stakeholders to create, organize, and communicate business policies and procedures, ensuring full compliance as part of expense and purchasing reviews, as well as ongoing updates for new and current staff.
- Taxable Fringe Benefit Reporting and Oversight – Update taxable fringe schedule each year, compile and analyze taxable benefits data, and consistent and timely reporting of benefits to impacted staff and Tax Department in accordance with the schedule, to include Bowl game, complimentary tickets, apparel partner benefits, and others.
- Student-Athlete Financial Aid – Administer and process all off-campus full scholarship student-athlete housing stipend payments. Maintain database and request summer school meal and housing checks for 250+ student athletes on a weekly basis from June-August.
- Supervisory Responsibilities – Management of Athletics Business Office temp/on-call staff in their day-to-day tasks.
- Special Projects – Perform other duties as assigned by the Sr. Associate Athletics Director, Finance & Strategy and / or Assistant Director, Business Operations as required of the Business Office and / or the Department of Athletics.
Minimum Qualifications
- Bachelor’s degree (4 years)
- 1 to 2 years experience
- Proficiency with current Microsoft Office suite software
- Understanding of basic accounting principles
- Strong communication skills
- Ability to work independently and on a team, multitask and pivot attention at a moment’s notice.
