The Student Engagement and Outreach Program Coordinator is responsible for developing and organizing RecSports student development initiatives, supervising student marketing assistants and office front desk staff, and overseeing the programming and engagement opportunities within RecSports. This role also works with other RecSports professionals to identify programmatic objectives and implement data-collecting strategies for a growing comprehensive collegiate campus recreation program. This position has direct supervision responsibilities of approximately 6+ marketing assistant student staff and 6+ office front desk student staff. This role must be able to work independently and collaboratively within a multi-faceted Recreational Sports (RecSports) team.
The Student Engagement and Outreach Program Coordinator is a full-time, 12-month, exempt position within the Division of Student Affairs, with various late-night and weekend responsibilities throughout the academic year, as well as some evening and weekend responsibilities throughout the summer.
ESSENTIAL DUTIES & RESPONSIBILITIES
Personnel Management and Development
- Ensure student marketing assistants and office front desk staff are recruited, trained, scheduled, supervised, and evaluated with all University/RecSports policies and procedures.
- Develop, coordinate, and lead training with marketing staff.
- Empower student and temporary/on-call staff to address, problem-solve, and manage daily projects, large-scale marketing plans, program area needs, and other marketing program necessities.
- Manage all student office front desk staff and marketing assistant employment and risk management records, including certifications, risk management training, and personnel evaluations.
- Review and submit bi-monthly employee payroll for supervised positions.
- Conduct twice-annual employee evaluations by scheduling semesterly one-on-one meetings; provide continuous feedback that supports staff performance improvement and project completion.
- Program and execute monthly staff meetings focused on professional development that covers training on RecSports policies/procedures, graphic design, photography, risk management response, other position-specific training, etc.
- Instruct American Red Cross certification classes for supervised staff and/or RecSports employees as needed.
Student Development and Administration
- Supervises and advises the student Campus Recreation Advisory Board.
- Organizes the nomination and selection processes of monthly student appreciation awards.
- Coordinates and executes all student staff appreciation events and endeavors. Including supervising the planning and execution of the end-of-the-year awards celebration.
- Oversees the RecSports Smith Center office front desk student staff in handling inquiries, managing phone lines, and providing excellent customer service to students, faculty, and visitors.
- Designs, implements, and evaluates student development programs for personal and professional growth, including workshops, mentorship programs, and student-staff leadership training each year for 450+ student and non-student staff.
- Monitors and assesses the effectiveness of student development programs through data collection, feedback, and reporting; making adjustments as needed.
- Oversee the RecSports student staff annual evaluation processes.
- Manage the RecSports student-employee hiring process, including developing applications, procedures for review, and hiring/onboarding standards for the office.
- Organizes the maintenance and inventory of staff apparel; facilitates the order of new staff apparel annually.
- Maintain accurate bi-annual records of student staff hours, performance reviews, and any relevant documentation, ensuring compliance with institutional and office guidelines.
- Works in collaboration with the Office Administrative Services Coordinator and student front desk staff to monitor and manage office supplies and inventory, ensuring necessary materials are available and replenished in a timely manner.
- Organizes office budgets, in consultation with the Assistant Director, in tracking expenditures, and ensuring adequate resource allocation for student staff training, events, apparel, and other office functions.
Communications & Marketing
- Responsible for developing marketing strategies and campaigns to successfully market RecSports and work collaboratively with the Division of Student Affairs to create and maintain a unified, consistent department brand identity for all facility signage, messaging, marketing, printing, displays, and social media postings. All departmental programs and services and updates all communication resources accordingly.
- Create and maintain resource materials such as guides, handouts, and digital content that support students in their development as a RecSports student employee.
- Create comprehensive materials for office professionals that outline the appropriate referral processes to connect students with mental health, counseling, or other support services on campus.
- Demonstrate familiarity with Adobe Creative Cloud or other design and photography/videography editing platforms to create compelling graphic designs.
- In consultation with the Assistant Director, direct the design, procurement, and production (including final product proof and dissemination) of all marketing collateral, apparel, and promotional items.
- Create and publish content on Notre Dame RecSports’ social media avenues; work with student staff to develop and implement all social media content strategies.
- With the assistance of student staff, document department events, employees, projects, etc. through photography and videography as well as maintaining a searchable, accessible, and easily navigated repository.
- Lead efforts on increasing department visibility within the University community as well as leading department involvement at campus orientations, information fairs, and other campus events.
- Write and edit multi-media content for RecSports publications including newsletters, flyers, and posters, and manage the RecSports.nd.edu and RecRegister.nd.edu websites.
- Ensure that all branding, publication, and content conforms and adheres to University editorial and graphic design standards (e.g., t-shirts, social media, printed media, digital signage, newsletters, etc.).
- Monitors use of official University and office marks in coordination with On Message and University Licensing.
Programming
- Provide coordination and oversight of RecSports programs and events.
- Plan, organize, and implement RecSports summer activities and offerings.
- Various evening and weekend work is required for this position, specifically during RecSports operating/programming hours.
- Serve as an on-campus point of contact and in an on-call capacity for RecSports special events.
- Participate as an integral member of a large, multifaceted Student Development team interacting daily with colleagues in the Office of Community Standards, Family Resource Center, Student Activities Office, University Bands, and Student Media groups.
- Other duties as assigned.
Minimum Qualifications
- Bachelor’s degree required in the field of recreation administration, sport management, leisure studies, higher education administration, marketing, communications, advertising, leadership development, business administration, or a comparable degree.
- Possess a current American Red Cross CPR/AED and First Aid for Professional Rescuers Instructor certification, or ability to obtain certification within 30 days of employment hire date.
- This position will need skills and experience in the administration of the following areas: leadership, development, communication, marketing, and assessment in a comprehensive campus recreational sports department.
- Demonstrated exceptional interpersonal, oral, and written communication skills
- Proven ability to thrive in a team-oriented workplace as well as work independently

Preferred Qualifications
- Master’s degree preferred with a major in recreation administration, sport management, leisure studies, higher education administration, marketing, communications, leadership development, or a comparable degree.
- 2-year graduate assistantship in recreation or higher education
- Membership and participation in professional organizations
- Demonstrated knowledge of operating in higher education marketing and communications, specifically collegiate recreation
