Assistant Director of Financial Aid Processing
Job Description
Works with the University's team of Financial Aid professionals to plan, evaluate, and maintain the Financial Aid technical processing and procedures. Also supervises part-time operations staff. Additional information about the department can be found online at https://financialaid.utahtech.edu.
Responsibilities
- Advise students, families and prospective students in matters related to financial aid, scholarships and grants, including explanation of application procedures, verification guidelines, regulations and policies.
- Oversee the processing of the financial aid portion of all Return to Title IV (R2T4) calculations to ensure compliance with Federal regulations and institutional policies for withdrawn students.
- Assist the Director in planning, developing and implementing policies and procedures that govern the day-to-day operations of the Financial Aid Office.
- Interpret, apply and comply with federal, state and institutional regulations governing student financial aid; maintain current working knowledge of guidelines/regulations related to financial aid.
- Primarily responsible for operational system development and management activities including but not limited to: verification processing and review, R2T4 processing, NSLDS updating, Pell grant administration, tracking aid status, system efficiency and infrastructure development, maintenance activities and assisting in testing and implementation.
- Integrate the use of the Banner and Campus Logic software systems with the Federal software, populate and tests rules and validation tables within systems with regards to federal aid programs.
- Assist Associate Director with reconciliation activities with the Department of Education.
- Responsible for the day-to-day administration of the technical processes related to the utilization of the Banner financial aid system and Campus Logic, including the importing and exporting of files with the U.S. Department of Education and other regulatory agencies and daily integration activities with university systems.
- Creates complex custom queries and programs for a variety of financial aid management needs and reporting requirements; creates queries to analyze and identify data integrity issues.
- Monitors and maintains data integrity of financial aid tables, fields, reports, and related systems; works with the Office of Information Technology to execute scripts to correct data issues.
- Serves as technical liaison with US Department of Education, UT Information Technology, Banner and Campus Logic for technical support on financial aid issues.
- Provides leadership and direct support to the Associate Director of Financial Aid on the analysis of business processes and the re-engineering of those processes related to imaging, workflow, or the student information system.
- Assists with programming necessary to maintain operations within the Banner Financial Aid System, including the development of system protocols for processing application forms, verifying applicant data, packaging financial aid, and reconciling fund distribution.
- Assist in internal and external audits including the development of reports to ensure compliance with federal regulations pertaining to financial aid.
- Serve as a member of the Exception to Policy Committee.
- Supervise part-time operations staff; monitor, train, and cross-train staff in the application and awarding processes for compliance. Ensure operational duties within financial aid processing area moves forward when other staff are unavailable.
- Attend trainings and conferences to enhance knowledge and skills.
- Coordinate with the Director and Associate Director of Financial Aid on special projects and assignments; perform other duties as assigned.
Qualifications
- Bachelor's degree in a related field required; Master’s degree preferred.
- Two years of office or technical reporting experience required; experience working with financial aid in a university environment, using a student information system, Banner, and/or CampusLogic preferred.
- Strong understanding of and working ability in automated computer systems.
- Experience with government rules, regulations, guidelines, and procedures related to financial aid.
- Ability to write and develop financial aid reports using various computer languages.
- Ability to hire, supervise, and cross-train part-time/student employees, with a strong attention to detail.
- Ability to work both on one's own and in a team environment.
- Excellent oral and written communication skills.
- Ability to establish and maintain effective working relationships with students, University employee, and the public.
Supplemental Information
POSITION DETAILS, COMPENSATION AND BENEFITS: Full-time overtime-exempt staff position. Annual salary of $53,000 - $55,000 depending on qualifications and experience. Desired start date of March 2025.
